Prospect Alerts

Concept

Pardot automatically notifies users when assigned prospects interact with online content (e.g., clicks on a tracked email link, downloads content, visits the corporate website, etc.). This helps sales reps prioritize their days and allows them to follow up with prospects when they are most sales-ready.

Changing Notification Preferences

These notifications can be enabled or disabled by an Administrator, Marketing, or Sales Manager user by going to Administration > Users and Groups and clicking “Edit Preferences” in the actions menu (far right column) next to a particular user (or by clicking the name of the user and then clicking  “Edit preferences”).

Each user can also modify their notification subscriptions by clicking on their email address located at top right of the screen within Pardot, clicking on “Settings”, and “Edit my user preferences”.

Daily Prospect Report – My Prospects

This subscription option, which is listed as Send daily prospect activity emails (for my prospects) in the app, is available to all roles.

This Daily Prospect Report helps Pardot users identify which of their assigned prospects were active the day before. This Daily Prospect Report includes only those prospects who are directly assigned to the particular user in which the Daily Prospect Report was sent to. However, any Administrator, Marketing, or Sales Manager user can access the Prospect module from within Pardot to see all prospects who were active the previous day, or enable the Daily Prospect Report notification for all prospects (see below). Prospects will appear on the Daily Prospect Report when they have a tracked activity which can include clicking on a tracked link or visiting a page that has Pardot tracking code included on it.

When you enable this subscription option, you can also choose to exclude prospects with certain tags. For example, you could set up an automation rule that adds a “customer” or “client” tag to any prospect with a “closed won” opportunity status. Then you can add this tag to the filter for this subscription option so your daily report only includes prospects that you haven’t already sold to.

Note: The Daily Prospect Report is based on cookies and tracked links and is completely independent of IP lookup.  Prospects are sorted by last activity, with the most recent one listed first.

Daily Prospect Report – All Prospects

This subscription option, which is listed as Send daily prospect activity emails (for all prospects) in the app, is available only to Administrator, Marketing, and Sales Manager users (Sales users only have the option to enable the notification above for their assigned prospects).

This Daily Prospect Report includes all active prospects from the previous day (not just those assigned to the particular user in which the Daily Prospect Report was sent to). Prospects will appear on the Daily Prospect Report when they have a tracked activity which can include clicking on a tracked link or visiting a page that has Pardot tracking code included on it.

There are links (in the form of a salesforce.com, SugarCRM, NetSuite, or Microsoft Dynamics CRM icon) in daily prospect reports and prospect lists so you can jump into the CRM without first opening a prospect’s details. If you are looking at a prospect and there is no CRM icon, it means that the record does not have a corresponding lead or contact in your CRM system.

Prospect Assignment Notification

This subscription option, which is listed as Send an email when a prospect is assigned in the app, will trigger a real-time email notification when a prospect is assigned to that user in Pardot.

Note: An automation rule that assigns many prospects to one user will send out a notification email for each prospect assigned. You may wish to temporarily disable this preference when creating new assignment automation rules if you wish to avoid multiple assignment notifications.

Also, if you are assigning prospects in Pardot via salesforce.com’s Active Assignment Rule, the assigned user will also receive this prospect assignment notification email from Pardot, once the prospect is assigned in salesforce.com and the assigned user then syncs back over to Pardot.

Prospect assignment notifications will not be sent if users are assigned via .csv import nor if prospects are reassigned via an import or connected CRM.  If the prospect is reassigned within Pardot (with the exception of an import), the assignment notification email will be sent to the new user.

Daily Prospect Assignment Report

This subscription option, which is listed as Send daily prospect assignment emails in the app, is a digest of all prospects assigned to that user in Pardot on the previous day.

Daily Visitor Report

This subscription option, which is listed as in the app, is available to all users.  This notification can be enabled for All visitors or you can Filter visitors by geography.

The Daily Visitor Report notifies Pardot users of those identified companies who visited the previous day. The Daily Visitor Report only includes those visitors labeled as Identified Visitors, which can include both anonymous visitors and identified prospects. Identified Visitors are visitors that had their organizations identified by Pardot through the WHOIS IP address look up (we need both 1. their company name AND 2. state OR country) and they are not ISPs.

You will see many more visitors that will not appear in the daily report because many organizations (even some very large ones) do not yield information when looked up. This may be due to how their IP being registered in a way that does not yield information through an IP database search. To enable the “Filter visitors by geography” option:

  1. Click on your email address in the top right of the application.
  2. Click Edit my user preferences.
  3. Check the box for Send daily visitor activity emails.
  4. Optionally select the radio button to Filter visitors by geography.
  5. Check the boxes for the states, countries, or regions whose identified visitors you would like to see. Use the tabs at the top to toggle between U.S. states, Canadian provinces, and E.U. countries.
  6. Click the Save user preferences to enable the geo-filter.

Note: The Daily Visitor Report is based entirely on IP lookup and if Pardot does not get a company match from the IP database search, the visit is not shown in this particular report regardless of whether the person is an Identified Prospect or not.  Visitors are sorted by the number of page views they had the previous day, with the visitor with the most page views listed first. The max number of entries that this report will display is 100. If you’d like to see the full list of visitors, you can go to Marketing >> Visitors on the left side navigation and choose a date range filter to sort the table by.

Starred Prospect Notification

This subscription option, which is listed as Send starred prospect activity alerts in the app, will trigger a real-time email notification when a starred prospect assigned to that user is active.

Weekly Search Marketing Report

This subscription option, which is listed as Send weekly search marketing email (sent on Mondays) in the app, is a weekly report of the keywords and competitors you are monitoring. It is sent every Monday morning (EST).
